EWS EVAL Release 21 is Now Available

Enterprise Web Services (EWS) has released an update in EVAL for multiple web services in support of UW Finance Transformation (UWFT). For an overview of how EWS is adapting to support UWFT, refer to EWS for Finance Transformation.

Monthly Scheduled Releases

  • EVAL: Updates to EVAL environments for all EWS services are released on the same monthly schedule. This allows us to better synchronize with Enterprise Data Platform’s release schedule for Finance Transformation. For more information, refer to the Data Availability Timeline.
  • PROD: Updates to PROD environments for all EWS services reflect changes from the previous month’s EVAL release (for example, if EVAL reflects Release 21, then PROD reflects Release 20).

What’s New in EWS Release 21

Web Service Overview of Release
FWS v2 (Outbound)
  • Introduced Breaking Changes by removing the /CatalogItem resource and any associated entities.
  • Added search parameters to the following resources: /CustomListValue, /LedgerAccount, /LedgerAccountSummary, and /Location.
  • Added new endpoints for search within the following resources: /WorkdayHierarchy and Generic Search (/SearchID).
  • Fixed a few field HREFs to point to the correct endpoints in the following resources: /Gift and /SupplierContract.
  • Fixed mappings for a couple fields in the /Award resource.
  • Fixed an issue in the /Award resource that was preventing some records from updating correctly.
  • Fixed an issue in some hierarchy-based resources that was displaying the Top-Level Hierarchy value incorrectly.
  • Fixed an issue in many resources that was allowing ‘null’ Inactive records to appear alongside ‘Active’ records.
  • Updated a number of fields across the web service to allow for a “null” state.
  • Updated Swagger documentation for the /SearchID resource to explain the result maximum.
  • Updated Swagger metadata for all resources.

  • Fixed line number ordering for ISD transactions. Previously, the line numbers were off by one.

Change to EWS EVAL Server Endpoint

There were previously two endpoints for the EWS EVAL Server: https://it-wseval1.s.uw.edu/ and https://wseval.s.uw.edu/. We have implemented a new load balancer, which removed it-wseval1 as an available endpoint. This change took effect in EWS EVAL environments on 5/25/23. Any configurations or bookmarks that still point to it-wseval1 will break.

Recommended Action – Evaluate EVAL Endpoints

If you haven’t done so already, please evaluate your configurations or bookmarks to ensure they point to the correct endpoint: https://wseval.s.uw.edu/. If they are already pointing to wseval, no action is required.

Resource Worktag Error

If you’re receiving a missing Resource worktag error when posting common transactions via FWS Inbound, your system or integration may be impacted by the most recent Tenant 5 build, which became available in UW13 on 4/17/23. In this case, you will need to update your system remediation and integration and then retest. To learn more, refer to Resource Worktag: Updated System Integration Requirements.

Transitioning Access for FWS v2 Outbound and FWS Inbound to Production

We are preparing to transition FWS v2 Outbound and FWS Inbound access for Go Live and will be reaching out to users to ensure access is provisioned correctly. Please watch for more information via email next week.

HRPWS v3 EVAL for UWFT Environment

We have set up an HRPWS v3 EVAL environment that points to Workday UW13 data to support UWFT. We encourage all current HRPWS users to connect their current solutions to this environment before Go Live to become familiar with how the data will change and to adapt if needed.

UWSDBDataStore Reorg on June 3, 2023

UWSDBDataStore Reorg on June 3, 2022

The student database (SDB) will go through a reorganization on June 3, 2022 which will cause changes in the Enterprise Data Warehouse database, UWSDBDataStore. These changes to the objects will be available in the UWSDBDataStore on June 5. 2022.
However, data on the new objects will be available as soon as the Data Custodians submit the security role definitions and the SIS team loads the data.

ACTION REQUIRED to preserve content in UW Google Shared Drives (Reminder #1)

A version of this message was sent to affected audiences on 5/2/2023.

 

Please note: These changes affect only UW Google Shared Drives. These changes do not affect your consumer Google Drive or personal UW Google Drive. 

What is happening and when

UW Google Shared Drives (Shared Drives) that do not have a current UW employee with a UW email address in the Manager role have been restricted beginning March 22, 2023. (The Manager role is the highest level of permissions in a Shared Drive.) 

You will still be able to view and download existing files in restricted Shared Drives, but you will be unable to add new files to restricted Shared Drives. 

Any Shared Drives that are still restricted in August 2023, including all files within, will be permanently deleted beginning August 29, 2023.   

Important Dates 

  • March 22, 2023: Shared Drives without a current UW employee’s UW Google account in the Manager role were restricted.
  • Restricted Shared Drive names were changed on March 22 to indicate that they are now restricted.
  • (PENDING_DELETE_on_8-29-2023)– is appended to the name of the restricted Shared Drive.
  • Files in a restricted Shared Drive can still be accessed and the content downloaded, but the Shared Drive will not accept any further uploads or file updates.
  • August 29, 2023: Restricted Shared Drives and all files within them will be permanently deleted, with no option for recovery.

What you need to do 

If you do not want the restricted Shared Drives deleted, add a current UW Employee’s UW Google account (associated with their UW NetID) in the Manager role. 

If you no longer need the Shared Drive, download the files you wish to keep from a Shared Drive. 

Shared Drive policies 

The Shared Drive lifecycle policy now requires that all Shared Drives must have at least one current UW employee’s UW Google account in the Manager role. For more information regarding related UW policies, please see the following resources:

ACTION REQUIRED: Use of UW Google with Shared UW NetIDs ends August 29, 2023

A version of this reminder message was sent to owners and administrators of Shared UW NetIDs with a UW Google account on April 25, 2023. Messages included a customized list of Shared UW NetIDs, owned or administered by the recipient, and associated with UW Google services.

 

As communicated in March 2022, due to changes to the UW Google service, the use of UW Google with Shared UW NetIDs will be eliminated, effective August 29, 2023. The UW Google service includes YouTube, among other frequently used tools. Owners of Shared UW NetIDs with UW Google service accounts must migrate data from these services or delete data that is no longer needed (according to the UW Records Retention schedule and the UW Medicine Records Retention schedule).

Any data that is not removed from these services will be deleted after August 29, 2023.

Please note that Shared UW NetIDs are not being deleted; only UW Google accounts and services for Shared UW NetIDs are being deleted.

What is happening?

In 2021, Google announced significant changes to their Google Workspace for Education product and how it is licensed. These changes, detailed on IT Connect, have major implications for UW-IT’s ability to provide UW Google (aka Google Workspace for Education, formerly known as G Suite and Google Apps) to the UW.

Google now considers the use of Shared UW NetIDs — widely used to support teaching, student activities, research, public outreach and business processes across the UW and with external partners — a violation of its Acceptable Use Policy and will be prohibiting their use. To comply with Google’s new requirements, the UW must discontinue the use of UW Google with Shared UW NetIDs.

As a first step toward compliance with Google’s new requirements, UW-IT discontinued the creation of new UW Google accounts for Shared UW NetIDs in August 2021. Owners and administrators of Shared UW NetIDs with existing UW Google accounts should begin planning to migrate data from these accounts.

What do I need to do?

  1. Review the lists of Shared UW NetIDs that you administer at the end of this message.
  2. Create a migration plan for email, files and business processes that must be retained.
  3. Review alternatives to UW Google for Shared UW NetIDs.

If the UW Google account is no longer needed, the owner should revoke access to UW Google services for the account using the Provisioning Request Tool (PRT). This will delete the UW Google account and data.

Is it possible to pay to keep services associated with Shared UW NetIDs?

No, it is not possible. The removal of Shared UW NetIDs from use with Google services is driven by the requirement to comply with Google’s new terms of service, which define the use of Shared UW NetIDs as a violation of Google’s acceptable use policy.

When do I need to migrate my data?

All data that needs to be preserved in UW Google accounts for Shared UW NetIDs must be moved to a new location by August 29, 2023. All UW Google accounts and data for Shared UW NetIDs will be deleted after that date. UW-IT recommends that you begin work now to create a data migration plan.

Can UW-IT help me migrate my data?

Unfortunately, due to limited resources, UW-IT is unable to offer individualized data migration consulting or assistance. Your department’s IT group is your best resource for assistance and recommendations.

Review alternatives to UW Google for Shared UW NetIDs and data migration guides

Can I stop receiving these reminders?

You will receive periodic reminders about moving content from the affected UW Google accounts. If you prefer not to receive these messages, the owner of a Shared UW NetID can delete the UW Google account for a Shared UW NetID using the Provisioning Request Tool (PRT) by clicking “Revoke” next to the service. This will delete the UW Google account and all data.

Please note that only an owner of a Shared UW NetID will see it listed in the PRT and can act; Shared UW NetID administrators will not see the Shared UW NetID listed in the PRT and cannot perform this action.

New EDP for FT Resource Available

EDP for Finance Transformation offers services that reflect the Foundation Data Model (FDM) and Finance Reference Data; however, because the changes to finance data are so transformational, we are not able to answer questions that are specific to your unit or provide guidance on how to use this data. Fortunately, there are various UWFT resources available to help with this aspect of the transformation and we’ve compiled a list of these resources on the Resources for Understanding Finance Transformation page. We will update this page as more resources are identified, so please watch for updates.

Knowledge Navigator: Winter Quarter 2023 Metadata Update

UW Metadata Manager, Keith A. Van Eaton, from Information Management’s Enterprise Reporting & Analytics team, has added or updated metadata objects in Knowledge Navigator.

In their ongoing partnership, the UW’s data domain stewards, subject matter experts, and metadata manager ensure metadata objects are vetted and approved so that UW data users have a common understanding around UW data.

WHAT’S NEW?

A holistic look at the Service Catalog and IT Connect

UW Information Technology has two websites 一 the UW-IT Service Catalog and IT Connect 一 that include information about technology tools, resources and services available to UW students, faculty and staff. While they are both sources of information for our customers, they are distinct in a number of ways, and complement each other to give our customers needed information and provide a cohesive customer experience of UW-IT services.

Distinct purposes

The purpose of each platform is distinct, and you can see the differences in the table below. But combined they help paint a holistic picture of a service to the UW Community, and each site helps serve different needs in the customer journey.

The Service Catalog Practice Team and the IT Connect Service Team presented at the April 4th SO/SM CoP and went into greater detail about each of these platforms. If you missed it, view the Slides from the presentation.

How much of what UW-IT offers is reflected in the Service Catalog and on IT Connect?

The IT Connect team did an assessment of which services were represented on IT Connect, and found that just over half of services have documentation on IT Connect. The analysis also showed that only around 15% of topics linked to a corresponding service catalog entry.

Cross link the two sites in your content

Services should have content on both platforms, written for the purpose of each platform, and the entries on each platform should cross-link to each other so your end users can  easily navigate between them.

While not all content on IT Connect has a corresponding service catalog entry, if content does, it should cross-link to the service catalog entry on the landing page of the topic on IT Connect. Documentation on how to cross link content is available in the content manager documentation.

Technical Writer support for IT Connect content

Over the past several quarters, student technical writer interns have supported a few service teams and helped update dozens of pages of content for UW-IT services on IT Connect.

Would you like technical writer support for IT Connect content? The UW-IT Communications team can also help you with your IT Connect content through brainstorming, working sessions and editing support. If you need help with your content and/or need technical writing support, then please fill out this form to let us know.

Web content best practices: Break it up

Crafting meaningful web content that users will actually read can be challenging, but breaking your content into smaller chunks will help users scan content, understand what they are reading, and most importantly, actually find the information they seek.

Breaking content up into meaningful chunks with descriptive, semantic headers  is one of the best ways to improve the readability of content. That way, users won’t become overwhelmed by a wall of text, and can more easily scan the content to find specific information or just keep their place.

Don’t forget to make sure your pages are accessible to all users. So use proper heading structure. More information about how to do that from the UW-IT Accessibility team. On IT Connect, the page title is a heading level 1, so start with headline level 2 and work your way down as needed.

DOCUMENTATION, TRAINING & CONSULTATIONS

Do you need some help creating IT Connect content, another head to brainstorm content organization and layout, or want to learn how to use the features available in IT Connect? There are several ways to get help:

  • Content Manager Documentation: Extensive documentation, ranging from the basics of WordPress to advanced features for pages, is available on the IT Connect Content Manager Documentation.

New Version of Space Web Service Aligns with InVision and Finance Transformation

We recently retired Space Web Service (SpaceWS) v1 and deployed v2 to PRODUCTION. This change better aligns SpaceWS with the new InVision source system and UW Finance Transformation (UWFT). Thank you to all our users for adapting to this change. We appreciate your support and partnership!

Please ensure all current and future integrations point to SpaceWS v2!

We’ve updated the Space Web Service | SpaceWS customer portal to reflect the retirement of v1 and introduce some revised service parameters:

  • Removed v1 content to streamline the customer experience.
  • Updated the Memorandum of Understanding | SpaceWS to communicate key resources, environment considerations, and release policies.
