Microsoft Teams Retention Policy Change

Beginning October 6, 2026, new Microsoft Teams meeting recordings, transcripts, and AI-generated summary (Intelligent Recap) content will be retained for 120 days by default.

Example: Content created on October 6, 2026, will be deleted on February 3, 2027. This is the first date content will be deleted unless a longer retention label is applied.

About the Change

Beginning October 6, 2026, new Microsoft Teams meeting content stored in the UW Microsoft environment (OneDrive, Teams, or SharePoint) will be retained for 120 days by default, then deleted unless a longer retention period is applied.

This change does not affect the following in Teams:

  • Chat retention, which remains 30 days.
  • Meeting content created before 10/6/26. This content will continue to be retained indefinitely, though users are encouraged to proactively review this content and align with records retention policies.
Questions

This change applies to anyone who signs into Teams with a @uw.edu account, including all students, faculty, staff and affiliates at UW and UW Medicine.

A longer retention label will need to be applied to this content. Instructions for how to do this will be provided soon.

This policy was implemented to support our obligations as responsible data stewards.
