Payroll and UW-IT recently partnered on an important update that changes how long former employees can log into Workday to view their electronic tax documents.
Until now, former employees kept Workday access through the remainder of the calendar year in which they left UW plus three additional years. Going forward, that window has been shortened:
New Electronic Access Eligibility Window
Former employees may now access electronic tax documents and play slips in Workday through the remainder of the year they separate from UW, plus one additional year.
After this period, former employees will no longer be able to log in to Workday. They can still request copies of tax documents and find support options through the Resources for Former Employees page.
This change was made to reduce the security and administrative costs associated with maintaining long-term access for former employees, and to better align with standard access-retention practices across higher education and state agencies.
UWHR is sharing this update to ensure all units have the information needed to support departing employees. If you see any downstream impacts or have insights to share, please reply to this thread if there are downstream impacts that we need to understand and mitigate.
