EWS EVAL Release 20 is Now Available

Enterprise Web Services (EWS) has released an update in EVAL for multiple web services in support of UW Finance Transformation (UWFT). For an overview of how EWS is adapting to support UWFT, refer to EWS for Finance Transformation.

Monthly Scheduled Releases

  • EVAL: Updates to EVAL environments for all EWS services are released on the same monthly schedule. This allows us to better synchronize with Enterprise Data Platform’s release schedule for Finance Transformation. For more information, refer to the Data Availability Timeline.
  • PROD: Updates to PROD environments for all EWS services now reflect changes from the previous month’s EVAL release (for example, if EVAL reflects Release 20, then PROD reflects Release 19).

What’s New in EWS Release 20

Web Service Overview of Release
FWS v2 (Outbound)
  • Updated the /Company resource to nullify the Root.IndustryCodeData field.

FWS Common Transactions (Inbound)
  • Removed the /ad_hoc_bank_transaction resource from the API and file service.
  • Updated the /internal_service_delivery resource to support all allowed worktags in the ISD Header and ISD Line Details.
  • Updated the /accounting_journal resource to support all allowed worktags in the Accounting Journal Lines.
  • Removed case sensitivity from supported ‘Type’ values.

HRPWS v3 There were no customer-facing changes for HRPWS v3 introduced in this release.

Data Tenant Changes in EDP for FT Environments

UW13 has successfully refreshed and FWS v2 Outbound now reflects the most current tenant 5.0 build data. Please reach out to us at fws-support@uw.edu if you experience any issues.

HRPWS v3 EVAL for UWFT Environment

We have set up an HRPWS v3 EVAL environment that points to Workday UW13 data to support UWFT. We encourage all current HRPWS users to connect their current solutions to this environment before Go Live to become familiar with how the data will change and to adapt if needed.

Knowledge Navigator: Winter Quarter 2023 Metadata Update

UW Metadata Manager, Keith A. Van Eaton, from Information Management’s Enterprise Reporting & Analytics team, has added or updated metadata objects in Knowledge Navigator.

In their ongoing partnership, the UW’s data domain stewards, subject matter experts, and metadata manager ensure metadata objects are vetted and approved so that UW data users have a common understanding around UW data.

WHAT’S NEW?

A holistic look at the Service Catalog and IT Connect

UW Information Technology has two websites 一 the UW-IT Service Catalog and IT Connect 一 that include information about technology tools, resources and services available to UW students, faculty and staff. While they are both sources of information for our customers, they are distinct in a number of ways, and complement each other to give our customers needed information and provide a cohesive customer experience of UW-IT services.

Distinct purposes

The purpose of each platform is distinct, and you can see the differences in the table below. But combined they help paint a holistic picture of a service to the UW Community, and each site helps serve different needs in the customer journey.

The Service Catalog Practice Team and the IT Connect Service Team presented at the April 4th SO/SM CoP and went into greater detail about each of these platforms. If you missed it, view the Slides from the presentation.

  • UW-IT’s Knowledge Base of customer-facing documentation
  • A place for service consumers of a service offering to learn how to use them
  • How to use various tools & services, detailed information about them, and marketing, news & service change information.

How much of what UW-IT offers is reflected in the Service Catalog and on IT Connect?

The IT Connect team did an assessment of which services were represented on IT Connect, and found that just over half of services have documentation on IT Connect. The analysis also showed that only around 15% of topics linked to a corresponding service catalog entry.

Cross link the two sites in your content

Services should have content on both platforms, written for the purpose of each platform, and the entries on each platform should cross-link to each other so your end users can  easily navigate between them.

While not all content on IT Connect has a corresponding service catalog entry, if content does, it should cross-link to the service catalog entry on the landing page of the topic on IT Connect. Documentation on how to cross link content is available in the content manager documentation.

Technical Writer support for IT Connect content

Over the past several quarters, student technical writer interns have supported a few service teams and helped update dozens of pages of content for UW-IT services on IT Connect.

Would you like technical writer support for IT Connect content? The UW-IT Communications team can also help you with your IT Connect content through brainstorming, working sessions and editing support. If you need help with your content and/or need technical writing support, then please fill out this form to let us know.

Web content best practices: Break it up

Crafting meaningful web content that users will actually read can be challenging, but breaking your content into smaller chunks will help users scan content, understand what they are reading, and most importantly, actually find the information they seek.

Breaking content up into meaningful chunks with descriptive, semantic headers  is one of the best ways to improve the readability of content. That way, users won’t become overwhelmed by a wall of text, and can more easily scan the content to find specific information or just keep their place.

Don’t forget to make sure your pages are accessible to all users. So use proper heading structure. More information about how to do that from the UW-IT Accessibility team. On IT Connect, the page title is a heading level 1, so start with headline level 2 and work your way down as needed.

DOCUMENTATION, TRAINING & CONSULTATIONS

Do you need some help creating IT Connect content, another head to brainstorm content organization and layout, or want to learn how to use the features available in IT Connect? There are several ways to get help:

  • Content Manager Documentation: Extensive documentation, ranging from the basics of WordPress to advanced features for pages, is available on the IT Connect Content Manager Documentation.
  • Guide to writing documentation: Use the Getting started with documentation guide to help you start writing documentation. The guide breaks down the documentation process that will benefit your end users.
  • Training: One-on-one training for managing content on IT Connect is available from the IT Connect service manager, Nick Rohde, over Zoom or in person. Get tips on correctly formatting content using the tools in IT Connect or learn how to organize your content. To arrange training, fill out this intake form.
  • Consultation: Consultation sessions for individuals or teams are available from the IT Connect product manager, Nick Rohde. To schedule a consultation, fill out this intake form.

New Version of Space Web Service Aligns with InVision and Finance Transformation

We recently retired Space Web Service (SpaceWS) v1 and deployed v2 to PRODUCTION. This change better aligns SpaceWS with the new InVision source system and UW Finance Transformation (UWFT). Thank you to all our users for adapting to this change. We appreciate your support and partnership!

Please ensure all current and future integrations point to SpaceWS v2!

Check out the new customer portal!

We’ve updated the Space Web Service | SpaceWS customer portal to reflect the retirement of v1 and introduce some revised service parameters:

  • Removed v1 content to streamline the customer experience.
  • Updated the Memorandum of Understanding | SpaceWS to communicate key resources, environment considerations, and release policies.

EDP for Finance Transformation offers services that reflect the Foundation Data Model (FDM) and Finance Reference Data; however, because the changes to finance data are so transformational, we are not able to answer questions that are specific to your unit or provide guidance on how to use this data.   • Removed /Related Worktag functionality for /CustomerInvoice as it was added in error.
  • Fixed bugs in the following resources: /BllingSchedule, /CustomerInvoice, /CustomerInvoiceAdjustment, /CustomerRefund, /LedgerYear, and /ObjectClass.

We’ve received several questions recently about the use of Shared NetIDs for a team’s workflow. While there are cases where these can be used, careful consideration is needed to evaluate the risk of doing so. In the course of discussing use cases with our customers, we often find there are solutions that can work just as well or better without the increased security risks. 

One major update that DocuSign has made in the past few months is the rolling out of “Shared Access.” This feature allows users to manage, follow up on, and even send on each other’s behalf, much in the same way as they would with their own envelopes.

Tenant build 5.0 data is now available in FWS v2 EVAL and UWODS/WDFinDataMart PROD environments per the EDP FT Environment Schedule.
