New EDP for FT Resource Available

EDP for Finance Transformation offers services that reflect the Foundation Data Model (FDM) and Finance Reference Data; however, because the changes to finance data are so transformational, we are not able to answer questions that are specific to your unit or provide guidance on how to use this data. Fortunately, there are various UWFT resources available to help with this aspect of the transformation and we’ve compiled a list of these resources on the Resources for Understanding Finance Transformation page. We will update this page as more resources are identified, so please watch for updates.

EWS EVAL Release 19 is Now Available

Enterprise Web Services (EWS) has released an update in EVAL for multiple web services in support of UW Finance Transformation (UWFT). For an overview of how EWS is adapting to support UWFT, refer to EWS for Finance Transformation.

Monthly Scheduled Releases

  • EVAL: Updates to EVAL environments for all EWS services are released on the same monthly schedule. This allows us to better synchronize with Enterprise Data Platform’s release schedule for Finance Transformation. For more information, refer to the Data Availability Timeline.
  • PROD: Updates to PROD environments for all EWS services now reflect changes from the previous month’s EVAL release (for example, if EVAL reflects Release 19, then PROD reflects Release 18).

FWS v2 (Outbound)
  • Introduced Breaking Changes to the /LedgerYear resource due to field renaming. 
  • Renamed XML tags for all branch resources; organization-based branch resources received additional XML updates. 
  • Added fields to the following resources: /CustomerInvoice, /Journal, /LocationHierarchy, /PayrollJournal, and all branch resources.
  • Removed /Related Worktag functionality for /CustomerInvoice as it was added in error.
  • Fixed bugs in the following resources: /BllingSchedule, /CustomerInvoice, /CustomerInvoiceAdjustment, /CustomerRefund, /LedgerYear, and /ObjectClass.

  • Introduced a Breaking Change by updating /accounting_journal to require LineDetails.LineOrder.

HRPWS v3
  • Added the HRPWS v3 /Location resource for worker-specific locations.
  • Updated the /Person First Name, Preferred First Name, and Legal First Name search parameter to allow filtering by a single character.

We’ve received several questions recently about the use of Shared NetIDs for a team’s workflow. While there are cases where these can be used, careful consideration is needed to evaluate the risk of doing so. In the course of discussing use cases with our customers, we often find there are solutions that can work just as well or better without the increased security risks. 

One major update that DocuSign has made in the past few months is the rolling out of “Shared Access.” This feature allows users to manage, follow up on, and even send on each other’s behalf, much in the same way as they would with their own envelopes.

Some EDP environments will be subject to multiple data tenant switches during the month of April to support various UWFT activities. If you are accustomed to using the following environments for your development and testing work, these environments may not reflect the data you think it should during this time. 

Tenant build 5.0 data is now available in FWS v2 EVAL and UWODS/WDFinDataMart PROD environments per the EDP FT Environment Schedule.

  • If you plan to post transactions as part of UWFT activities, like Cutover Dress Rehearsal, then plan to use the FWS v2 EVAL (inbound) environment. Use the FWS v2 DEV (outbound) and/or UWODS/WDFinDataMart TEST environment to validate.2

Action required to preserve content in UW Google Shared Drives

A version of this message was sent to affected audiences on 2/14/2023. Additional audiences will receive this message on 2/28/2023.

Please note: These changes affect only Shared Drives. These changes do not affect personal UW Google Drives. 

What is happening and when  

UW Google Shared Drives (Shared Drives) that do not have a current UW employee with a UW email address in the Manager role will be restricted beginning in March 2023. (The Manager role is the highest level of permissions in a Shared Drive.) 

You will still be able to view and download existing files in restricted Shared Drives, but you will be unable to add new files to restricted Shared Drives.  

Any Shared Drives that are still restricted in August 2023, including all files within, will be permanently deleted beginning in August 2023.   

Important Dates 

  • March 22, 2023: Shared Drives without a current UW employee’s UW Google account in the Manager role will be restricted 
  • Files in a restricted Shared Drive can still be accessed and the content downloaded, but the Shared Drive will not accept any further uploads or file updates  
  • Restricted Shared Drive names will be changed on March 22 to indicate that they are now restricted 
  • August 29, 2023: Restricted Shared Drives and all files within them will be permanently deleted, with no option for recovery 

What you need to do 

Review the Shared Drives you have access to and look for Shared Drives without a Manager. 

If you do not want the restricted Shared Drives deleted, submit a request to have your current UW employee UW Google account (associated with a UW NetID) promoted to the Manager role. 

If you no longer need the Shared Drive, download the files you wish to keep from a Shared Drive. 

Shared Drive policies

Redesigned Knowledge Navigator launches with enhancements

UW-IT’s Information Management team members, in collaboration with the Program Management Office, successfully launched the redesigned Knowledge Navigator (KN) application. Over the course of the past six months, development, interface refinement, testing and debugging have resulted in backend efficiencies and a streamlined experience for users. 

Redesign launch and enhancements

Knowledge Navigator’s redesign launched on Feb. 14 and while most of the work affected the backend of the application, KN users benefit from some enhancements: 

  • Streamlined home page 
  • Improved search features 
  • Better Help functionality 
  • Infrastructure improvements and efficiencies 
  • Increased security

KN provides context to data used across the University and is its one source for finding and understanding information across critical subject areas (Student/Academic, Human Resources, Financial, Research Administration).  

Knowledge Navigator helps decision makers across the UW speak the same language, which makes collaboration and decision-making easier and smarter.

Major changes coming to UW Google Shared Drives

A version of this message was sent to users of UW Google Shared Drives on Wednesday, January 25, 2023.

What is happening and when

UW Google Shared Drives (Shared Drives) that do not have a current UW employee with a UW email address in the Manager role will be restricted beginning in March 2023. (The Manager role is the highest level of permissions in a Shared Drive.) You will still be able to view and download existing files in restricted Shared Drives, but you will be unable to add new files to restricted Shared Drives.

Any Shared Drives that are still restricted in August 2023, including all files within, will be permanently deleted beginning in August 2023.

Why these changes are happening

The UW requires that all Shared Drives have at least one UW employee as the responsible party (Manager), for risk management, records management, data privacy and budget approval reasons. Additionally, UW employees must use their UW email address (@uw.edu) in the Manager role.

The future of Shared Drives

Due to changes implemented by Google, Shared Drives will become a fee-based service beginning in July 2024.

Storage tiers, quotas, and rates for Shared Drives will be announced later in 2023. We hope to provide this information in advance for departments to budget the costs for the upcoming year.
