RPG Release: New Filters and Fields on Study Abroad Report

In July, we added the Study Abroad Students by Unit Report to the BI Portal. Following that release, we received feedback from many users on how to make the report better. Based on this user feedback, the Report Prioritization Group just released several updates to the report. Run the report to see for yourself: Study Abroad Students by Unit Report.

Change Summary:

Based on user requests, we added several new filters to the Study Abroad report.

  • Quarter Filter:
    • The filter allows you to narrow down to specific UW Quarters of interest. Since some study abroad programs span multiple quarters, the filter allows you to select multiple UW Quarters.
  • Class:
    • The filter allows a user to filter down to specific class levels. This filter is consistent with other academic reports.
  • Residency:
    • The filter allows a user to filter down to specific residency codes. This filter is consistent with other academic reports.
  • Ethnicity:
    • The filter allows a user to filter down to specific ethnicities. This filter is consistent with other academic reports.
  • Columns to Display
    • Similar to other academic reports, this filter allows a user to choose the columns they want to display in the report.

We also added several new columns to the report. You can find these fields in the Columns to Display dropdown:

  • Major:

    • Displays the student’s Major(s) in three columns.
  • Gender:
    • Displays the student’s gender as it displays in SDB.
  • Current Class:
    • Displays the student’s current class level.
  • Class During Study Abroad
    • Displays the the student’s class standing during the quarter that they studied abroad based on the Quarter filter selection.
  • Residency: Displays the student’s residency status as it appears on their student_1 record in SDB.
  • Ethnicity: Displays the student’s ethnicity. This field is consistent with other academic reports.

We also released a few other enhancements to the report including:

  • Updated Quarter Column Display:
    • Updated the formatting of the Quarter column to display a quarter name instead of number (e.g. “2019 Winter”)
  • Duration Filter Removed:
    • By request from the Study Abroad office, we removed the Duration Filter from the report.
  • Updated Report Formatting:

    • We updated the formatting of the report to be consistent with other BI Portal reports.

EDW HR/Payroll data will be paused 12/27-12/28 to support Northwest Hospital Cutover

Between December 26-29, 2019, Northwest Hospital and UW Physicians employees will be integrated into Workday. During this transition period, employee data from Workday may not be complete. Therefore the EDW will proactively pause daily HR/Payroll data updates until the fully integrated employee data is available. The last EDW HR/P daily load before the pause will be on the morning of Thursday, December 26, 2019. We plan to resume daily updates the morning of Sunday, December 29, 2019. HR/P data will continue to be available from the EDW during this timeframe; it will just remain static.

Affected databases are:

  • HumanResources
  • ODS (HR/P data only)
  • IBS (HR/P data only)

Architecting EA – EA Practice 2.0

In 2019, the EA team focused on building the EA practice maturity.  We called this effort EA Practice 2.0.  Much of what you see on this site came out of this effort, along with our quarterly planning process, the new EA Consulting Service, the new EA Charge, and the EA Board.  We started by laying out all of the things that we wanted to improve over the course of the year. We then aligned these deliverables to the Itana EA Maturity Model for Higher Education.  Each item was scored as a gap (shown in red), needing to be updated (yellow) and good/done (green).  At the start of each quarter, we identified goals and then set aside time to work on EA Practice 2.0 each sprint.

 

EA Practice 2.0 Deliverables for 2019

What is still left undone?  A lot of work around Delivery of Enterprise Architecture to campus partners.  One part is focused on building out training in EA practices and methods.  This is an important “force multiplier” for the EA team as well as an opportunity to provide professional development, coaching and mentoring to others who are interested in architectural practices.

The second part is focused around reference architectures.  We want to revisit the EA Principles and update them via a set of crowdsourcing sessions.  Along with updated principles, we would develop a new Scorecard to help people assess their current state or plans to see where they might need to re-architect.  A critical part of the success of these two efforts is connecting the Principles and Scorecard to what we call a “SME Map”.   The SME Map would connect people, who have questions about a principle or who had a low score in the scorecard, to the right group or person to talk to for help and more information.

Finally, there are new Guardrails being developed for UWFT.  These need a place to live and process / governance to maintain them.  The Guardrails tie to the Principles and to Implementation Guides.  All of this needs a home, clear training  and outreach, and management to make it useful.  The goal is to make the guardrails useful not only UWFT but for campus as a whole.

A lot was accomplished in 2019.  We turned a lot of items green and published a lot of V1 versions of different artifacts.  I hope to accomplish as much in 2020.

UW Profiles Release: Updates to Size of Academic Units and Type of Students Served

Based on user feedback, the UW Profiles team released updates to the Size of Academic Units and Type of Student Served dashboard.

Change Summary:

  • Undergraduate Major Status Filter: 
    • A new “Undergraduate Major Status” filter was added to allow users to filter Undergraduate students by Declared Major and Pre-Major.
    • This filter allows you to answer new questions like: “how many students have a declared major in our college?”

  • New features:
    • Bars representing Baccalaureate data in the College and Department bar charts are separated into sections for Pre-Declared and Declared Major.
      • Hovering these sections will display a tool tip with data for both Baccalaureate and Undergraduate Major Status.

    • Undergraduate Major Status data can be viewed in the Number of Students vs. Number of Student Majors bar chart in visualization view and all 3 tables in table view by hovering “Baccalaureate” and clicking the + link.

 

  • Updated Reformatting: 
    • The dashboard was reformatted to be consistent with UW branding guidelines.
    • Clicking the “Show Cohort Filters” or “Hide Cohort Filters” buttons will expand or collapse the list of Restrict Cohort filters.

Archiving Report: 2013 Base Year Paid FTE Report

On November 19, 2019, the ERA Team archived the 2013 Base Year Paid FTE Report due to low usage and outdated information.

Archiving: What does that mean?

Archiving simply means that we removed this report from the BI Portal, and it will no longer be accessible. The purpose of archiving is to allow our team to reduce the volume of redundant or unnecessary tools that we support, and to focus on building new higher value solutions for you!

Replacement: Where can I get this info after the report is archived? 

You can still access this information by connecting to Research Admin Data (RAD) cube.  Here is a link on how to connect to the cube – Data Cubes.  You can also find this information in Research Budget Expenditures report in BI Portal.

Table Reorg for the UWSDBDataStore Curriculum Management objects on December 16, 2019

The Curriculum Management tables in UWSDBDataStore will have some changes on Dec. 16, 2019. These changes to the objects (listed below) will be available in the UWSDBDataStore on Dec 17, 2019 .
However, data on the new objects will be visible as soon as the Data Custodians submit the security role definitions.

RPG Release: New Fields Added to Time Schedule Information Report

We recently shared that you can now access Jointly-listed course information in the Time Schedule Report. Based on user feedback, the Report Prioritization Group just released several more updates to the BI Portal report, Time Schedule Information.

Change Summary:

Based on user requests, we added several new columns to the Time Schedule report. You can find these fields in the Columns to Display dropdown:

  • Instructor Netid
    • Displays the UW Netid for the instructor(s) associated with this course.
  • Census Major Enrollment
    • Displays total enrollments of major students in a course on census day of the quarter.
  • Census Non-Major Enrollment
    • Displays total enrollment of non-major students in a course on census day of the quarter.
  • Census Enrollment
    • Displays the the sum of the major and non-major enrollments at census day.
  • Census Student Credit Hours
    • Displays the total number of student credit hours for a course on census day.This is equaled to the actual enrollment count multiplied by the course’s credit amount on census day.

  • Withdraw/Suspend: 
    • Based on the status of a course, this field displays “Withdrawn”, “Suspended” or blank if the course is neither withdrawn nor suspended.
  • Online Learn Type: 
    • Displays the online learning type for a course. Options include: “No Online Learning”, “All Online”, “Hybrid”, and “Enhanced”.
  • Distance Learn Type: 
  • Three new columns that display a “Y” if a course meets these requirements:
    • Research
    • Service
    • Writing

We also released a few other enhancements to the report including:

  • Building Map Link: 
    • Now when you click the hyperlinked building name, the UW map opens in a new tab.
    • How? Select “Building” from the columns to display filter and a hyperlinked “Bldg” field will display in the report. Click the field to open the location on the UW map.
    • Note: Since the map application only displays UW-Seattle, this feature only works for UW Seattle buildings.
  • Quarter Filter:
    • The quarter filter now includes future quarters of Time Schedule data.
  • Bug fixes:
    • Fixed the alignment of the Instructor filter label

RPG Release: Updates to Time Schedule Information report

Based on user feedback, the Report Prioritization Group released updates to the BI Portal report, Time Schedule Information.

Change Summary:

The Time Schedule Information report now includes summary and detailed joint course loop information.

  • Joint Course Summary Info: 
    • New Filters 
      • The following filters have been added to the Columns to Display parameter:
        • Loop Joint Course Flag
        • Loop Current Enrollment
        • Loop Limit / Est Enrollment
        • Loop Joint Limit
        • Loop Joint Courses

  • Joint Course Detail Info:
    • You can now drill down to a subreport that contains detailed course loop info.
    • Look for the column “Loop Jnt Course Flag”, and click the hyperlinked “Yes”.
    • The detailed subreport will open in a new tab.

What is Next?

In response to these updates, users have requested additional fields to be added to the report. We are also prototyping a visualization that will display course enrollments by time and day based on the Time Schedule data. Stay tuned!

Course Sections that are offered simultaneously (taught by the same instructional faculty and at the same time and place) but listed separately on the Time Schedule are Joint Course Sections. Joint Course Sections fall into three categories: sections of Permanent Joint Courses, Ad-hoc Joint Course Sections, and Faux Joint Course Sections.

EDW & EWS Data Changes Coming to Support Northwest Hospital (NWH) and UW Physicians (UWP)

This is a heads up on upcoming changes to both the Enterprise Data Warehouse (EDW) and Enterprise Web Services (EWS).

 

As you may be aware, UW Medicine is currently in the process of consolidating activities across two of its major entities: 

  1. Northwest Hospital (NWH) will become a second campus of the University of Washington Medical Center (UWMC)
  2. UW Physicians (UWP) staff will become part of the UW Medicine Health System (UWMHS) supervisory org structure in Workday and part of the School of Medicine otherwise

A major component of this consolidation effort includes integration of ~2600 NWH and UWP employees into Workday and UW-IT systems. A dedicated project is in progress to support this transition. The project has successfully completed design, configuration, and 2 rounds of end-to-end testing. The final round of end-to-end testing is now in progress. The cutover and data migration activities are planned for the last two weeks of December 2019, with the final cutover planned for January 1, 2020.

We do not think the changes impact you.

However, we want to make sure you aware of what is happening. Over the last few months both EDW & EWS teams worked very hard to evaluate, adapt, and test the changes. The goal is to ensure a smooth transition for NWH and UWP units while minimizing impact on the rest of campus.

Existing fields are not changing as part of this work. There are no new data elements. So what are the changes?

New values will appear in existing fields. The new values will start showing up in mid-December with a final implementation date of January 1, 2020.

The new values fall into two categories: 1) data additions that could happen at any time, and 2) changes that are unique to this project.

1. Data additions that could happen any time

We’re communicating them here because they are being added as part of the NWH/UWP project:

  • Supervisory orgs
  • Cost centers
  • Locations
  • Job profiles
  • Job classifications (absence related)
  • Compensation grades
  • Bargaining units/unions
  • Job families, related to unions

2. Changes that are unique to this project

  • New employee sub type (worker type):
    • This new type of employee (worker) was added to support paying some NWH hourly employees the actual hours they work
    • This new type of employee (worker) is for positions known as “regular, hourly”
    • Currently, only relevant to a subset of the NWH population
    • “Regular, hourly” subtype will function the same as the subtype “regular”
    • The assumption can no longer be made that an hourly employee is temporary
    • Hourly employees can be temporary or regular, depending on their job profile
  • New pay component code (earning code):
    • Associated with the new employee subtype
    • The new value is RGH
    • RGH is typically treated like regular earnings, REG, except the pay type is hourly
    • RGH is treated as “REG Equivalent” 

 

How can you tell if you are impacted by #1 or #2’s new values?

  • Consider how you filter or query on these concepts. If a new value shows up, will that impact your results?
  • If you do any filtering or querying around “regular earnings”, based on what you are trying to accomplish, you may need to include “RGH” in the long list of codes that are treated like “REG”.

EA Showcase 2019 – Event Resources

The EA Showcase 2019 was a success.  We had a good crowd from across campus join us for the morning.  The morning started with high level challenges and trends and then moved on to table work on UW-specific concerns.  All of this was used to demonstrate why Enterprise Architecture has moved away from developing “wiring diagrams” of the technology towards a much more collaborative and cross-cutting change leadership practice.

What did attendees take away?

“It was great to have a conversation at the enterprise level.”  “Hearing from the panelists – their expertise and experience.” “It was good to talk to people from other parts of the University.” “I liked the direction and leadership based on the EA Charter and resources.” “There is so much to leverage from the website including the resources and the EA team’s expertise.”  “Three hours was not enough time.”

Summary and Links to Resources:

Jim Phelps, Director of Enterprise Architecture & Strategy, started the morning talking about Digital Transformation and the impacts it will have on society and universities.  Megan Kennedy, Interim Director of the UW Resilience Lab, followed up with a discussion about student well-being and student challenges around food, housing and mental health.  Ann Anderson, Associate Vice President of Finance, then discussed the financial realities of higher education and how UW is meeting those challenges.  Ann also discussed the drivers for the UWFT program.

These high-level challenges and trends set the stage for the rest of the morning which was spent doing group work at tables.  The EA team; Rupert Berk, Jacob Morris and Piet Niederhausen; walked the room through the EA Value Chain and Architectural Value statements.  The tables then worked on a architectural challenge in their space – developing a trends and drivers, a scope statement, and doing an engagement scan.

The closing highlighted how architectural problems are “adaptive problems” that is problems where the both problem is unclear and the solution is unclear.  These problems require a collaborative and matrixed response to solve.   The idea of the “virtual architect” – that is a collaborative architectural effort involving many participants – was introduced as the new way EA thinks about their practice.
