In collaboration with the Office of Planning and Budgeting (OPB), we updated the following three dashboards with new features:
Undergraduate Retention and Graduation Rates
Table View:
- Cohort Retention and Graduation Rates by Cohort Year was improved with the following:
- Users can select from Primary and Secondary breakdowns. Both breakdowns now include a Military Affiliation dimension.
- Color highlighting was added to show increasing and decreasing rates from previous cohort years.
- A “Cohort Year” multi-select filter was added.
- The “Variation” visualization was removed from the dashboard.

Visualization View – New!
- Cohort Graduation Pattern visualization was added
- Visualization includes the ability to select from Primary and Secondary breakdowns, which now include a Military Affiliation dimension.
- Added “Cohort Year” multi-select filter (includes cohort years with at least 4 years of data)

Other:
- The dashboard was reformatted to match UW branding guidelines
- Deceased students are no longer included in the data for this dashboard.
Undergraduate Graduation Patterns and Time to Degree
Visualization View:
- A “Cohort Year” filter has been added, so users are now able to see the following data for a specific cohort year and quarter:
- Cohort size, 4 and 6 year graduation rates, in the new highlighted areas near the top of the dashboard
- Quarterly graduation patterns
- The “Quarterly Graduation Pattern” visualization was updated with the ability to select from Primary and Secondary breakdowns, which now include a Military Affiliation dimension.
- The following have been removed:

Table View:
- The tables “Quarterly Graduation Pattern” and “Trend in Time to Degree by Academic Year Awarded” have been updated with the ability to select from Primary and Secondary breakdowns, which now include a Military Affiliation dimension.
- A “Cohort Year” filter was added, so that users can view the quarterly graduation pattern for a specific cohort year and quarter.
- Time to Degree is now displayed in quarters (previously it was displayed in months)
- The “Cohort Graduation Pattern” table was removed from the dashboard.

Other:
- The dashboard was reformatted to match UW branding guidelines
- Deceased students are no longer included in the data for this dashboard.
Undergraduate Student Persistence and Graduation by Year of Study
Table View:
- The tables “Trend in Cohort Persistence and Graduation by Year of Study” and the “Cohort Size by Year” have been updated with the ability to select from Primary and Secondary breakdowns.
- Primary and Secondary Breakdowns now include a Military Affiliation dimension.

As part of the Enterprise Data Warehouse’s support for the Northwest Hospital Integration effort, beginning with the next payroll, pay period Jan 1-15, the EDW payroll data will include the Northwest Hospital (NWH) and UW Physicians (UWP) employees who are all now UW employees as of the beginning of 2020. The Report Prioritization Group released a new report to the BI Portal, Current Student Information. This report consolidates two previous reports: Current Student Information by Major and Current Student Information by Minor. Remember to update your bookmarks to point to the new report location.
Report Summary:
This report displays a population of students that have enrolled in courses during the current quarter based on the selected major or minor. This report has a couple of key features:
- Consolidation: You no longer have to access two separate reports to get information on current students by major and minor. The report now features a single filter that allows you to filter by the Major or Minor of interest in a single report!
- Updated Timing: Based on user feedback, we also updated the logic for identifying the “current quarter” during the academic break periods between quarters.
- In the old reports, during an academic break, the report looked at the quarter that had just completed. For instance, during summer break, users complained that there was a period before the start of Autumn quarter where the report was not usable because it displayed only information about the previous (completed) quarter.
- In the new report, one day after a quarter ends, the report looks forward to the next quarter’s enrollment information. For instance, during Summer break, the report displays Autumn quarter enrollment information. We reviewed this change with many users, and all agreed that this was an improvement over the old reports.
What About the Old Reports?
We will continue to host the Current Student Information by Major and Current Student Information by Minor reports in the BI Portal for the time being while we migrate users over to the new report. However, in the coming weeks we will archive the old reports and will only support the new consolidated Current Student Information report.
Please remember to update your bookmarks and BI Portal favorites to point to the new report location!

Based on user feedback, the Report Prioritization Group just released several updates to the report Class List By Curriculum Course Section. Run the report to see for yourself!
Change Summary:
Based on user requests, we made several updates to functionality, including:
- Selected Qtr Class column:
- First, some context. When you select “Class” from the Columns to Display dropdown, two Class columns display.
- “Current Class” is the student’s class level for the current quarter
- “Selected Qtr Class” is the student’s class level during the Quarter selected in the “Quarter” filter.
- Before the update, when you ran the report for future quarters, the logic inserted “0-Pending” as the student’s Class Level. We were told that was not very useful information.
- After the update, when you run the report for future quarters, the report now displays a student’s latest Class Level in the “Selected Qtr Class” column.
- Columns to Display
- This filter now includes a “Default” option.
We also added some new columns to the report. You can find these fields in the “Columns to Display” dropdown:
- Race:
- Underrepresented:
- This column displays a student’s URM Status
- The possible values are “International”, “URM”, and “Not URM”, and the logic aligns with the institutional definition of URM, and the way URM is displayed in UW Profiles.

As the promise of snow flutters into the local forecast, we wanted to take a brief moment to remind our users how to remotely connect to their machines.
In order to successfully connect remotely, the following requirements are necessary:
- Have administrator privileges on your computer
- Adjust power settings to ensure the computer is on and not asleep when you try to connect to it
- Have the name of the computer that you wish to connect to
- Use a VPN connection
- Use Microsoft Remote Desktop Connect

The student database (SDB) will go through a reorganization on February 1, 2020 which will cause changes in the Enterprise Data Warehouse database, UWSDBDataStore. These changes to the objects will be available in the UWSDBDataStore on Monday, February 3, 2020. (However, data on the new objects will be available as soon as the Data Custodians submit the security role definitions and the SIS team loads the data.) *

Enterprise Reporting and Analytics has partnered with the DATAgroup in Financial Management to release a new report to the BI Portal: General Ledger Transactions by Month.
Report Summary:
This report gives users who are responsible for auditing and reconciling GLs a way to see individual transaction data for a specific GL Account/Fund Code combination by accounting month.
The report sources data from the Enterprise Data Warehouse and refreshes nightly.
What has Changed?
If you previously ran this report on the Financial Management site, you might be wondering, “what has changed?” Nothing has changed with the report, only where you go to access it. Now you can run both the GL Summary Report and the GL Transactions by Month reports on the BI Portal.
Consolidating these reports on the BI Portal allows us to leverage the EDW data security model. It also means you don’t have to go to two different sites to get the information you need to do your work.
What about Access and Permissions?
This report sources data from the Enterprise Data Warehouse (EDW). EDW data is secured using roles and ASTRA. If you do not have EDW Permission to view this data, then you will not be able to run the report. Don’t worry! Here are the steps you can follow to get access to run this report.

Ask Data:
If you were previously using Ask Data for your data source, you will need to explicitly enable it as the server default is to have Ask Data disabled. The process to enable is as follows:
- Navigate to your data source on https://bitools.uw.eduLinks to an external site.
- Click the “i” icon next to the data source name
- In the resulting dialog box, click Edit for Ask Data
- Select Enabled from the drop down and Save
