Document Management

The Document Management service, powered by DocFinity, supports records retention compliance and disposition policies, security and access control, and long-term online storage of UW business records. This service is essential for handling sensitive documents and data, such as contracts and agreements, financial and personnel records, governance materials, intellectual property artifacts, and more.

How to Get Document Management

Departments interested in document management services should contact UW-IT using the Document Management Interest Form. You can begin the interest form, which initiates the onboarding process and then guides you through the necessary steps to ensure that your intended usage meets University policy and guidelines for Document Management.

License Details

  • Availability: The service is available to all UW departments at no cost.
  • Access: Users can access the system using UW NetID and two-factor authentication (2FA).
  • Functions: DocFinity supports uploading, indexing, searching, and viewing documents. It also offers high-volume scanning capabilities and optional integration with eSignature services.
  • Compliance: The system ensures compliance with legally approved records retention schedules through automated records retention rules.
  • Security: DocFinity provides a secure cloud application for managing electronic records, ensuring security and longevity.
